Workflow Automation: Zapier, Make and n8n
What is workflow automation?

Workflow automation means a chain of connected steps running without human intervention when an event happens (a form submitted, a new order, an incoming email). Zapier offers the easiest start, Make visual and detailed scenarios, and n8n self-hosting and data control. The choice depends on the complexity of the job, its volume and data privacy.

How Does Workflow Automation Work?

Every automation has two parts: a trigger and an action. The trigger is the event that starts the flow: a form arriving from the website, a new row added to a spreadsheet, a certain time arriving. The action is the work done afterward: sending an email, creating a record in the CRM, messaging the team.

In the steps in between, data can be transformed, split into different paths by conditions, held for a wait, or sent to an AI model and summarized. No-code automation tools let you build these connections without writing code, using ready-made app connectors and drag-and-drop interfaces.

A typical example: when the quote form on the website is filled in, the details are written to a spreadsheet, a notification goes to the sales team, an automatic thank-you email is sent to the customer and a follow-up reminder is created two days later.

Whichever tool you choose, a good automation has three things in common: error alerts, documentation and ownership. Someone must be notified when a step fails, each flow must have a short note saying what it does, and each flow must have a person responsible for it. Flows built without these three turn, months later, into a structure nobody understands and everyone is afraid to touch.

What Is Zapier?

Zapier is the best-known automation tool. Every flow you build is called a “Zap.” With a large number of ready-made app connections, a simple interface and ready templates, it is the easiest starting point for users with no technical background.

The practical answer to what is Zapier: a cloud-based service that quickly connects popular cloud apps to one another. Its pricing generally scales with the number of tasks run; as the number of flows and steps grows, so does the cost. Check current plans and limits at zapier.com.

  • Strengths: Setup speed, wide app support, ease of learning.
  • Weaknesses: Costs can climb quickly on complex, high-volume flows; it runs only in the cloud.

What Is Make?

Make (formerly Integromat) lets you build flows on a visual canvas using what it calls “scenarios.” Each step appears as a module; you can see visually which path the data flows along, where it splits and where it merges.

It offers more detailed control than Zapier over conditional paths, loops, error handling and data transformation. That flexibility lengthens the learning curve a little. Its pricing is based on the operation units scenarios consume; check current information at make.com.

  • Strengths: Visual flow design, detailed data handling, error scenarios.
  • Weaknesses: Can look complicated at first; it also runs only in the cloud.

What Is n8n?

n8n is a node-based automation tool that can be used in two ways: on the maker's cloud service or on your own server. With its source code available and distributed under its own usage license, n8n stands out for businesses where data privacy is sensitive and for companies with a technical team.

The most important answer to what is n8n is data control: when you run it on your own server, the customer and order data passing through flows never touches a third-party cloud service. You can also write JavaScript or Python in code nodes inside a flow to fill in where ready-made connectors fall short. For license and setup details, see the n8n documentation.

  • Strengths: Self-hosting, extensibility with code, cost control at high volume.
  • Weaknesses: Setup, updates, backups and security are your responsibility.
bashTrying n8n locally with Docker
docker volume create n8n_data
docker run -it --rm --name n8n -p 5678:5678 -v n8n_data:/home/node/.n8n docker.n8n.io/n8nio/n8n

Zapier vs Make vs n8n Compared

All three tools do the same basic job; the differences show up in who will use them, how complex the flows will be and where the data will live.

Automation with AI

All three tools support adding an AI step to flows: classifying an incoming email, summarizing free text in a form, drafting a reply to a customer message. This combines rule-based automation with language models that can understand ambiguous text.

At a more advanced stage, flows turn into AI agents that decide for themselves which step to take. We described the protocol developed to connect agents to different tools in a standard way in our what is MCP article. If you are going to set up a bot that answers customer questions, our AI chatbot guide shows how it can combine with automation.

To find jobs suited to automation, the 15 examples in our AI in business article make a good starting list.

Which Tool for Which Job?

The right choice comes less from the tool's features than from the nature of the job. The questions below make the decision clearer.

  • Who will build the flow and who will maintain it? For a non-technical team, Zapier is the fastest route.
  • Does the flow have many conditions, loops and data transformations? Make makes it easier to manage that detail visually.
  • Does sensitive information such as customer or health data pass through, and is the volume high? Self-hosted n8n gives control over data and cost.
  • Is the flow at the heart of the business or a side convenience? Critical processes such as sales and inventory should be built into the main software itself, not an external automation layer; in areas such as reservations, agencies and listing management, industry-specific software solutions provide that core.

The Limits of Automation

Automation tools are very powerful at connecting two systems, but keeping a business's main operation running on dozens of external flows creates a fragile structure. When an app's interface changes, a connection's authorization lapses or a flow fails silently, orders can be lost.

That is why in e-commerce, core processes such as order, stock, shipping and invoice flows should run inside the main system. In Aurora Smart E-Commerce, marketplace, shipping, e-invoice (Turkish e-invoicing) and virtual POS connections run in the system itself without any intermediary integration program; for details, see our e-commerce integration and accounting integration pages.

Automation tools, on the other hand, work best around that core, on side jobs such as marketing notifications, internal reports and team communication. To combine different systems in a coherent structure, you can also explore our integrated solutions service.

Frequently Asked Questions

01Do I need to know programming to set up automation?

Many flows can be built without writing code in Zapier and Make. Complex data transformations, custom API connections and a self-hosted n8n setup do require technical knowledge. As flows grow, error handling and documentation become more important.

02Are the free plans enough for a business?

They are often enough for trials and a few simple flows. As the number of flows, steps and run frequency grow, paid plans become necessary; calculating the cost in advance from your monthly operation volume prevents surprises.

03Is it hard to switch from one tool to another?

Flows cannot be moved directly between tools; each one has to be rebuilt. That is why keeping the flows and the connections they use in a written list saves a lot of time when you need to migrate or do maintenance later.

04What should automation flows watch for under KVKK?

You need to know which services process and store the personal data passing through a flow. Transferring data to cloud services abroad requires separate assessment; check current legislation (KVKK is the Turkish data-protection law, comparable to GDPR) and consult your legal adviser.
