E-Commerce Accounting Integration
We explain how order, stock, customer account and invoice data reach your accounting without manual entry, which models are used and what to watch for.

E-commerce accounting integration means transferring the order, invoice, stock and customer account data of your online store to your accounting records without re-entering it by hand. When an order is placed, the invoice is issued, VAT is calculated correctly, stock is reduced and records flow neatly to your accountant. This eliminates double data entry and calculation errors.
Why Do You Need Accounting Integration?
As online sales grow, the most time-consuming job is often not selling but record-keeping. Every order needs an invoice, its payment is processed, stock is updated, returns are deducted, and at month-end all of this is passed to accounting. When these jobs are done by hand, the same information is typed again and again on three or four different screens.
Double data entry is the biggest source of error. A mistyped figure, a forgotten return or an invoice issued twice turns into hours of reconciliation at month-end. Accounting integration makes sure information is entered once at the source and flows everywhere with the same accuracy.
Another benefit of integration is real-time visibility. Seeing profit, VAT and stock status without waiting for month-end lets you base pricing and campaign decisions on real data instead of guesses.
When Should You Switch to Integration?
The need for integration usually shows itself through certain signs. If two or more of the following apply to you, a manual routine has started to slow your growth.
- Every day you log in to a separate program to issue invoices and retype order details.
- At month-end you manually transfer orders into a spreadsheet to send to your accountant.
- The stock shown on the site and the stock in the warehouse or at the register often do not match.
- You cannot be sure whether cancellations and returns are reflected on the invoice.
- You merge separate reports to see the sales total across multiple sales channels.
Which Data Is Transferred?
Accounting integration is not a single data flow but several interlinked ones. Which flows you need depends on your business structure, your accounting setup and the way your accountant works.
| Data | What It Provides |
|---|---|
| Order transfer | The amount, date, payment method and channel of the sale are recorded |
| Invoice | An e-invoice or e-archive invoice (Turkish e-invoicing) is created automatically from the order |
| Customer account information | Billing details of individual and corporate customers are transferred correctly |
| Stock movement | The effect of sales, cancellations and returns on stock is recorded |
| VAT breakdown | Sales totals are separated by the different VAT rates |
| Returns and cancellations | Reversal entries and corrections are processed on time |
Stock and Customer Account Transfer
Stock and customer account transfer is the most sensitive part of integration. On the stock side, the goal is for every product sold to be deducted across all channels at the same time and for the reason for every movement to be recorded. The answer to why a product's stock went down or up should be visible in a stock movement ledger.
On the customer account side, the customer's billing information matters. For individual customers, the full name and, where required, the Turkish national ID number; for corporate customers, the tax number, tax office and billing address must be collected completely at the payment step. If this information is not captured correctly at the time of the order, fixing it later takes time and may require cancelling the invoice.
Product Codes Must Match
Between the online store and the accounting or POS program, products are matched by stock code or barcode. For variant products, every color and size needs its own code. Auditing the catalog from this angle before integration prevents most mismatch problems that would otherwise appear later.
Integration Models
There are several ways to move data between an e-commerce site and the accounting side. Each model has different consequences for speed, cost and maintenance.
Direct Connection
The e-commerce software connects to the e-invoice provider or the POS program from within. Data flows in real time or at short intervals. Maintenance happens in one place and no additional software license is needed.
Intermediary Integration Program
A third program acts as a bridge between the site and accounting. Although it looks flexible, it brings an extra subscription, an extra point of failure and dependence on updates from both sides. When one side changes, the bridge must be updated too.
File-Based Transfer
Orders and products are exported at set intervals as Excel or similar files and uploaded to the accounting side. It is practical at low volume, but it is not real-time and making sure the file is pulled regularly falls to one person.
Pre-Accounting and Financial Reports
Pre-accounting is keeping the business's daily income, expense, invoice and collection records in order. In e-commerce, most of the pre-accounting is already generated by the order: which product sold for how much, which VAT rate applies, how much the shipping fee was and which method the payment was received with.
Collecting this information in a financial report broken down by VAT rate lets you send your accountant a tidy data set at month-end. If the report can be pulled by date range and exported, you do not need to keep a separate spreadsheet.
On tax matters, this article gives general information only. Determine your record-keeping, document types and tax return process together with the current legislation and your accountant.
What Happens to Marketplace Orders?
For a business that sells on multiple channels, accounting chaos multiplies. If orders from your own site, Trendyol and Hepsiburada (leading Turkish marketplaces) stay in separate panels, each channel's invoices, commissions and returns have to be tracked separately.
The solution is to collect the orders of all channels in a single list. With marketplace integration, marketplace orders land in your panel; invoice, stock and financial records go through the same flow as orders from your site. A per-channel sales report also shows which channel actually leaves a profit.
Steps for the Switch
Accounting integration is not a one-time setup but a process that has to run regularly. The steps below help you make the switch smoothly.
- Map the current process: what information is entered where, by whom and how often?
- Clarify with your accountant which data is needed in which format.
- Audit stock codes, barcodes and VAT rates in the catalog and fill in what is missing.
- Decide on your e-invoice provider and your POS program.
- Set up the connection and check the invoice, stock and report with a few test orders.
- Show your team the returns, cancellations and corporate invoice flow hands-on.
Accounting Integration at Aurora
The accounting integration of Aurora Smart E-Commerce brings invoicing, tax and reporting together in a single panel. Your invoices are issued through e-invoice integration via Uyumsoft, EDM Bilişim or Park Entegrasyon; VAT is calculated per category and the financial report is prepared with a VAT breakdown. You can import and export your product and price data with Excel.
If you use DionPOS in your store (DionPOS is a POS/ERP program purchased separately), it connects to your Aurora panel; stock and prices sync every minute and online orders are passed to the POS. All connections live inside the system and no intermediary integration program is used. You can see the other connections on our integrations page.
You can find basic information about invoice types in our article on what an e-archive invoice is, the automation of the shipping side in our shipping integration article, and customer account and price management in wholesale in our B2B dealer system article.
Frequently Asked Questions
01Does accounting integration make the accountant's job redundant?
No. Integration reduces data entry and errors, but tax returns, legal compliance and financial statements remain your accountant's responsibility. Clean data speeds up their work and leaves them more time to advise you.
02What happens if the accounting program I use changes?
With a direct connection, we check whether the new program is supported; if it is not, file-based transfer can be a temporary solution. Making the change at the start of a period and closing the old records reduces confusion.
03How are returns reflected in accounting?
When a return is approved, stock goes back and the related correction entry is created. Since the procedure to follow can vary by document type, agree on the returns flow with your accountant beforehand. Returns and cancellations should be kept in a separate report in the software.
E-commerce accounting integration ensures that as sales grow, the record-keeping load does not grow at the same pace; invoice, stock and financial data flow from a single source with a single accuracy. With Aurora's accounting integration you can keep your records in order, and for setup and use you can draw on our training and consulting support.
